Corporate learning platforms may hold employee identifiers, assignments, assessments, manager observations and participation records. Learning data privacy therefore extends beyond the server location. A sound selection process establishes what is collected, why it is needed, who uses it, where copies are processed and how the lifecycle ends.
Start with one journey, such as employee onboarding. Identify information arriving from HR, records produced by assessments, manager views and data available to support or analytics teams. Include backups, exports and integrations: processing is not confined to the screens employees see.
Separate information needed for training administration from data that can be omitted. Avoid free-text fields inviting unrelated personal details. Every additional field needs a purpose, owner, access rules and a retention approach, rather than merely a place in the database.
The SDAIA guide for controllers and processors explains roles under Saudi Arabia’s Personal Data Protection Law. With appropriate specialists, review the roles of your organization and suppliers, the lawful basis for processing, privacy notices and procedures for data-subject rights. Do not assume employee consent is the automatic solution for every use.
For recommendations or AI functions, ask what information is transmitted, which parties receive it and whether employee data or content may be used to develop models. Request specific contractual and technical answers instead of broad assurances about secure AI.
Request evidence concerning encryption, access management, activity logs, backups and security testing. Examine the scope, validity and covered entity of any supplier certification. Certification contributes to assessment but does not guarantee that your configuration or every integration meets your requirements.
Identify hosting, support, backup and subprocessor locations. Assess whether the Regulation on Personal Data Transfer Outside the Kingdom applies to your data flows and which conditions, safeguards or assessments are required. Local hosting alone does not settle compliance, and international transfer is not automatically prohibited in every situation. Review the specific arrangement and relevant sector requirements.
Establish retention periods according to purpose and applicable obligations. Define how correction or destruction requests and necessary exceptions will be handled. Test usable record export, account closure and documented deletion under the agreement before the organization becomes dependent on the supplier.
Learning, IT, security, privacy and procurement teams should review the actual operating scope. Record gaps, actions and accountable owners, then test the configured environment before rollout.
